As a remote speaker, you have immediate access to the iPRES 2024 conference app.
However, we strongly recommend to postpone your registration and onboarding until you have received our email invitation. That is to ensure that you log on with the correct email address (= the email address you used to register for iPRES 2024). If you use a different email address, we will not be able to verify and therefore we will not be able to grant you access. Missed the email? Please check your spam box!
To keep all sessions running smoothly, we designate 4 roles per session. Each role has his or her own responsibility:
The technical moderator starts and stops the broadcasting and handles any technical problems
The (remote) speaker gives his or her presentation, and answers questions that were qualified by the q&a moderator and passed on by the session chair
The q&a moderator encourages the remote audience to ask questions and qualifies incoming questions
The session chair introduces the (remote) speaker and picks up on the questions that the q&a moderator has qualified (especially important for in-person presentations where the speaker does not have access to the dashboard)
Floq has 2 backstage dashboards: one for speakers, and one for moderators. Remote speakers and q&a moderators will use the speaker dashboard. It is where you can present live, pre-record your presentation or a poster pitch, chat with other speakers and the attendees and see incoming questions. Session chairs and technical moderators will use the moderator dashboard.
All remote sessions will be streamed in The Suite (one of the rooms in the conference venue in Ghent), a technician will be there to facilitate this ‘watch party’.
Follow these simple steps and get access to the speaker dashboard in 2 minutes:
First, register and install Floq as an attendee. When you go through this short registration process, you will not only be granted access to the iPRES 2024 conference app for attendees, we will automatically grant you access to the speaker dashboard. This is done based on the sessions and presentations we have linked you to as a remote speaker.

Click on the iPRES 2024 tile and check out you personal session list
Click on a session to view the speaker dashboard
Although Floq works very similarly to Zoom or Teams, it is still advantageous to familiarize yourself - as a remote speaker - with the speaker dashboard beforehand. We invite you to go through the previous steps well before the conference, and also before the online rehearsal on September 9
There are a number of ways to get familiar with the speaker dashboard.

Join the recommended online rehearsal on Monday September 16 between 3pm and 6pm (CET), for which you will receive a separate placeholder invitation;
Join the actual remote session 30 minutes before the start of the session to make sure everything is functioning as it should;
We advise you to access the speaker dashboard in Chrome or Microsoft Edge browsers. To avoid distractions, we advise closing other applications and turning off your notifications. Please also make sure to use the same computer and internet connection before and during the conference as different settings can change your experience.
Based on our pre-testing, we are happy to share with you some useful tips:
Check your browser settings
If you are not able to activate your camera or microphone, then the reason is probably your browser settings. Go to your settings and check (under privacy/rights) that you are not prohibiting Floq from using your camera and/or microphone.
Upload your slides
Floq provides the possibility to upload your presentation in advance. This avoids any on-the-spot difficulties with the 'share screen' functionality. To upload your slides to the platform, make sure they are first exported as a PDF file.
Be on time (30 minutes before the start)
Your presentation is part of a session. These sessions have been closely curated, and in almost all cases they have a content link. It is thus not excluded, and probably rather a productive practice, that speakers within a session refer to each other. To enhance that, but also to avoid too many practical difficulties during the remote presentations, we urge you to log on at least 30 minutes before the start of your session!
Activate your camera
Activate your camera when you join the session so that the session chair can select the right speaker in his/her dashboard. Also, the session can not start if all cameras are off.
Use ‘audience view’ when you are not presenting
When the session is live and you are not presenting, click the Audience view button in the bottom left corner of the dashboard to watch the presentations of other speakers in the same session. Please note that in this tab, you can still be heard by others if you're not muted.
Mind the delay
There might be a small delay between what you see and what your audience sees. Please wait a moment before you start commenting on a slide.
Finally, we have also set up a Floq help desk via Slack. Look for the #helpdesk channel to share any question you might have, previous and during the conference!
