Please consult the online map of the Schengen Visa Policy to verify whether you need a visa. When traveling frequently to the Schengen area, you must respect the 90/180 days rule, or use the Schengen Calculator to prepare the next trip or visa application.

You should apply for your visa in person at the Belgian embassy or consulate which is competent for  your country of residence, where you will be requested to communicate your travel destination and some documents detailing the circumstances of your travel.

Formal letter of invitation to iPRES2024

Ghent University can issue a formal invitation to support visa requests or other travel permissions.

Please send us an email with all these elements:

  • Full name of the invited researcher

  • ORCID of the invited researcher

  • a line of text why they have to attend the conference (e.g. are they preparing a contribution)

  • name & address of the person or organisation the letter should be addressed to, typically the employer for work-related travel

  • email where to send the letter 

If a sponsor or institution has agreed to pay for your travel & accommodation and/or registration fee, also attach a document that proves that. It is a key element in visa approvals.
